Our Process

Setting up therapy services is a process that – depending on your insurance company – can take up to six weeks to complete. We have prepared an outline of the service initiation process to help you navigate next steps.

The first step to becoming a client at Carolina Therapeutic Ranch is to create an account within our encrypted, web-based, and HIPAA-Compliant Electronic Medical Records system called ClinicSource.

We verify your insurance benefits based on the policy information you provide on our intake form in ClinicSource. Once verified, a member of our billing team will provide you with a Letter of Financial Responsibility that details your insurance plan specifics.

Our administrative team will work to obtain signed prescriptions for services or any other relevant documentation required to initiate therapy services. Once in hand, a member of our clinical team will schedule an initial evaluation.

One of our clinicians will perform an evaluation to assess a prospective client’s suitability for programming at the Ranch. They use research-based diagnostic tools, and also consider an individual’s strengths and weaknesses, the potential for impact on the individual’s quality of life, personal history, and prognosis.

Once the evaluation is complete, we send an evaluation report, an individualized plan of care, and recommendations for services to the referring physician and to your insurance carrier.

When we have received authorization for ongoing therapy services, we can start the recommended course of therapy treatment!
